What is Expense management?
Expense management is the way to track all your expenses and make your administrative life easier. You will find Expense management in the left-hand menu, under Expense management. The Expenses page shows every payment made with a GoDutch card. For each expense you can see the date, the status, the merchant, the category, the amount, and who made the payment. This keeps everything in one overview, without loose receipts or spreadsheets to maintain.
Adding receipts
There are four ways to attach a receipt to an expense:
In the app on your computer: in the Actions column, click the + button next to the expense and choose a file. You can upload a photo (JPG, PNG) or a PDF.
In the mobile app: take a photo of your receipt on the spot, or upload a photo from your phone.
By email: forward your receipts to your personal expenses address. You will find this address at the top of the Expenses page, in the form [email protected].
Through the AI Expense Agent on WhatsApp: after a card payment, the assistant automatically asks you for the receipt. You send a photo back and the expense is handled.
Whichever method you choose, our OCR software reads the receipt and matches it to the right expense automatically. There is nothing to match by hand. Expenses that still need a receipt or extra information are flagged next to the date. Use the bell button in the Actions column to send the relevant user a reminder.
Categorising, filtering, and searching
Choose a category for each expense in the Category column, such as Software, Marketing, or Office Supplies. Use the search field to find a merchant quickly, or use the filters at the top (Status, Receipt, Information needed, User, Category, and Date) to show exactly the expenses you are looking for.
Exporting expenses
Click Export in the top right, then New to create an overview. Choose the period and download the file as a CSV. Previous exports stay in this window so you can download them again. This is handy for your bookkeeping or your accountant.
